General Procedure and Administrative Requirements for The International Internship Program.

International Internship Program: General Procedures & Administrative Requirements

Welcome to the International Internship Program at Udayana University. Below you will find the comprehensive guide regarding administrative fees, application procedures, and required documents.

1. Internship Administrative Fees & Duration

Important Notes on Duration:

  • The minimum internship duration is 1 month, and the maximum duration is 6 months.
  • The exact duration of your internship depends entirely on the official agreement with your supervisor.
  • Please contact the International Office (KUI) to confirm which visa fee applies to your approved internship duration.

2. Required Documents

Please prepare the following documents before starting your application:

  • Curriculum Vitae (CV)
  • Passport Copy (Valid for at least 6 months)
  • Medical Certificate
  • Academic Transcript
  • Declaration Letter (Template attached below)
  • Financial Guarantee Document (Template attached below)

3. Application & Procedural Steps

To ensure a smooth process, please follow the chronological steps below:

Phase 1: Initial Communication & Project Approval

  1. Initial Contact: All initial inquiries and communications must be directed to the International Office (KUI) via email. KUI will then forward and communicate your request to the Faculty while keeping the student CC'ed in the email.
  2. Academic Discussion: Once connected, the student will communicate directly with FT via email to discuss the internship project, research topic, schedule, expected outputs, and the Learning Agreement. Both the student and the academic supervisor must approve the topic.
  3. Faculty Confirmation: As soon as the agreement is reached, FT will officially send a confirmation letter to KUI via the Udayana Internal Mailing system (Siraisa).

Phase 2: Document Processing & Visa Application

  1. LOA and Visa Guarantee Letter Request Process: Upon receiving all required documents and the official confirmation letter from the Faculty, International Office (KUI) will process and request the official Letter of Acceptance (LOA) and Visa Guarantee Letter from the Rector.
  2. Issuance of Documents: The official LOA and Visa Guarantee Letter will be issued.
  3. Sending LoA and Invoice: International Office (KUI) will send the official LOA document and the visa invoice to the student. Upon receiving these documents, the student is expected to immediately proceed with the visa payment process based on the designated fee.
  4. Visa Payment: The student will proceed with the visa payment. To prevent international transfer issues and ensure the funds do not get locked or misdirected into the general university account, KUI highly recommends and requests students to use payment platforms such as Wise or Revolut.
  5. Internship Agreement: Both parties (the student and faculty/Supervisor) will formally sign the internship agreement.
  6. Faculty Assignment Letter: The Faculty Dean will officially issue a Letter of Assignment (Surat Tugas) to the designated academic supervisor, formally authorizing them to mentor the international internship student.

 

Phase 3: Arrival & Implementation

  1. Arrival and Payment: Upon arrival at Udayana University, the student must complete the admission and tuition fee payments.
  2. Supervision and Reporting: The internship activities, academic supervision, and final reporting will be carried out according to the agreed schedule.
